No commission
We don't take a percentage of your bookings, whether a guest books one night or a two-week retreat.
Still running bookings on a spreadsheet? You're not the first business to ask when it's time to move on. With Spreadsheets, bookings arrive by email, Instagram and WhatsApp. Payments arrive by bank transfer and PayPal. Dietary needs arrive in a reply three weeks later. Each one involves manual work and a high risk of human mistakes. Bookinglayer was built as a reservation and operations software for overnight experiences. A room, a surf lesson, a yoga class, a meal, and an airport transfer are all inventory on our platform, booked by the guest, paid for, and scheduled in one place.
Availability
Double bookings usually happen in high season, when nobody has time to check the sheet twice.
Bookinglayer
Every room, bed and activity spot sits in one live inventory. When a guest books the last bed in the dorm, the booking engine stops selling it, and so does Booking.com, Expedia or Airbnb, because Bookinglayer connects to them through Channex. Nobody has to update a calendar by hand, but if someone cancels, the next in line gets notified. Same for the activities: once the class is full, the waiting list starts.
Spreadsheets
A spreadsheet shows what was true the last time someone updated it. If two people take a booking on the same afternoon, or an OTA booking comes in while you're answering an email, the sheet won't stop you. You have to close each channel's calendar by hand, one by one.
Packages
A surf week is a room, five lessons, board hire and an airport pickup. Someone has to add that up for every guest.
Bookinglayer
The Package Builder combines the room, the activities, the meals, the rentals and the transfers into one different ways: as a program with one price. A surf week or a yoga retreat: room, lessons, meals, and transfers sold together at one price, on fixed dates or with flexible arrival. As a room plus add ons. The guest books the room, then adds a massage, a cooking class or a surf lesson on the side. As a bundle. A set of items sold together, like three surf lessons with board hire, added to any stay.
Spreadsheets
In a spreadsheet, a package is a row and a formula. Change the price of board hire and every formula that uses it needs checking. Offer a shared room and a private room, a 7-night and a 10-night option, and the quote for each guest becomes its own small calculation, often done in an email reply.
Activities
Every evening, someone works out who surfs at 7 am tomorrow, who needs a board, and which instructor takes the beginners.
Bookinglayer
Guests pick their activity sessions when they book. The Session Planner shows every class and session with the instructors and resources assigned, and the Capacity Manager stops the 7 am surf lesson at 8 surfers. You know in advance how many people want Friday's lesson, and you can book a second instructor before the week starts.
Spreadsheets
In a spreadsheet, the daily plan is a separate tab copied from the bookings tab, then checked against messages from guests who changed their mind. Capacity is whatever the person filling it in remembers. When an instructor is off sick, the plan is rebuilt by hand.
Booking online
Guests decide when they're excited, often late at night. Every hour between the question and the answer is an hour they spend looking at other places.
Bookinglayer
The Booking Engine sits on your own website, in your colors, typography and layout. Guests check availability, choose a room, pick their activities and pay a deposit in one flow, at any time of day. A deeplink takes a guest from an email, an ad or an Instagram post straight to the right package and date.
Spreadsheets
With a spreadsheet, booking starts with an inquiry. You check the sheet, write back with availability and a price, wait for an answer, send payment details, then wait for the payment. Each step is a chance for the guest to book somewhere else.
Deposits and payments
A week's experience is rarely paid in one go. The hard part isn't taking the deposit, it's remembering who still owes what.
Bookinglayer
You set the payment rules for each package: a fixed deposit, a percentage or full payment, with a balance due date counted from arrival. Reminders go out automatically with a payment link inside, in your tone of voice. With Bookinglayer Pay, a big stay can be split into installments that charge the saved card on each date. Choose from 35+ payment gateways and accept payments in 140 countries, often with the provider you already use.
Spreadsheets
In a spreadsheet, every payment is a column you update after checking the bank, PayPal and Stripe separately. Reminders are emails you write yourself, when you remember to. A transfer with the wrong reference can sit unmatched for weeks.
Guest information
The kitchen needs Thursday's dietary needs. The surf school needs a signed waiver. The driver needs a flight number.
Bookinglayer
After booking, guests get a link to the Customer Portal. They fill in the check in form you built, with dietary needs, surf level or an emergency contact, sign digital waivers, add the transfer they forgot, and move a session if you allow it. Every answer is saved in the booking, so the kitchen sees Thursday's dietary needs before anyone arrives. You can add your own pages too, like a packing list or a FAQ. Thanks to the Customer Portal, 27% of guests with portal access add something extra after booking.
Spreadsheets
With a spreadsheet, guest information arrives in email replies, WhatsApp messages and paper forms on arrival day. Someone copies it into a column, chases the guests who didn't answer, and prints the waivers. The questions guests ask before arriving get answered one email at a time.
Pricing
A spreadsheet costs nothing. The hours around it do.
Bookinglayer
Bookinglayer starts at USD 300/month, with no commission on your bookings. That covers the booking engine, packages, activity scheduling, payments and the Customer Portal on one platform.
Spreadsheets
The spreadsheet itself is free. The cost is the time spent answering inquiry emails, writing quotes, matching payments, chasing waivers and rebuilding the daily plan, plus the bookings lost to guests who didn't wait for a reply. Count the hours you and your team spend on that in a busy week, and put your own hourly rate next to them.
We'd rather tell you we're not the right fit than onboard you and find out two months later. If you run one or two retreats a year, with a small group you mostly know already, a spreadsheet and a payment link are probably all you need. The same goes if you're testing a new idea and don't yet know whether it will run again next season. Paying for software before you have a repeatable product doesn't make sense. The signs it's time to move are practical: you've double booked a room, you've lost track of who paid, you spend evenings building tomorrow's activity plan, or guests ask to book online and you can't let them.

“From Google Sheets to Bookinglayer. We have a climbing Camp in Laos. We were looking for a booking system that besides accommodation also included climbing courses and the TAB payment systems(...) Our whole booking process is now automated, and the booking engine has a nice design”

We look at how you sell, your rooms, activities, and packages. If we're not the right fit, we'll tell you.
Most clients go live in two weeks, working one to two hours a day with a dedicated onboarding specialist.
Our technical team imports your guest data, so your history comes with you. Switchers also get a special discount.
Our pricing model
Some booking software takes a percentage of every booking, so your bill grows with every guest you bring in yourself. Bookinglayer charges one fixed monthly fee, and what you earn is yours.
We don't take a percentage of your bookings, whether a guest books one night or a two-week retreat.
One monthly fee, set by the size of your operation and the add-ons you choose.
No annual commitment and no cancellation fees. Stay because it works.
Our foundation
The four core components are in every plan, at every size. They are not tiers. They are the foundation.
Comparisons
Three side-by-side comparisons, feature by feature. Where Bookinglayer is stronger, and where it honestly isn't. We'd rather you find out now than two months in.
FAQ
For a first season, a handful of rooms and one kind of week, yes. If you run one or two retreats a year for a group you mostly know, a spreadsheet and a payment link are probably all you need. It starts to fail when bookings arrive by email, Instagram and WhatsApp, payments arrive by bank transfer and PayPal, and nobody can tell which cell is out of date.
When one of these has already happened: you double booked a room, you lost track of who paid, you spend your evenings building tomorrow’s activity plan, or a guest asked to book online and you couldn’t let them. One is enough.
Every room, bed and activity spot sits in one live inventory. When the last bed in the dorm is booked, the Booking Engine stops selling it. Bookinglayer connects to Booking.com, Expedia and Airbnb through Channex, so those calendars close too and nobody updates them by hand. Once a room or an activity is full, the waiting list starts. If someone cancels, a space opens up and you can accept the next guest on the list. That guest gets a notification when you accept the booking.
Yes. The Booking Engine sits on your own website, in your colors, typography and layout. A guest checks availability, picks a room and activities, and pays a deposit in one flow, whether it is 2 pm or 2 am. A deeplink from an email, an ad or an Instagram post opens the right package and date.
You set the payment rules for each package: a fixed deposit, a percentage or full payment, with the balance due date counted from arrival. Reminders go out automatically with a payment link inside, and every payment is saved on its booking, so you stop checking the bank, PayPal and Stripe one by one. With Bookinglayer Pay and a Stripe account, a big stay can be split into installments that charge the saved card on each date. You can also choose from 35 or more payment gateways in 140 countries, often the provider you already use.
Guests get a link to the Customer Portal in an automated email. There they fill in the check in form you built, add their transfer and flight details, and sign digital waivers. Every answer is saved in the booking. For the kitchen, the Guests list under Planning has a Diets preset that you can print or download. You can also set up a custom report that is emailed to the chef on a schedule, so the list arrives without anyone sending it.
Yes. Guests pick their sessions when they book. The Session Planner shows each class and session with its instructors and resources, and the Capacity Manager limits each activity: no cap, a fixed cap like 8 surfers at the 7 am lesson, or a cap you set day by day. You can see Friday’s numbers early and book a second instructor before the week starts.
Yes. Reports export to CSV or XLSX, and custom reports can be scheduled daily, weekly, monthly, quarterly or yearly and sent to the email addresses you list. The spreadsheet your accountant or head chef likes can keep going, with data coming from the bookings instead of being typed in by hand.
Yes. You can bring over your guest data and form results.
No. Bookinglayer is booking software, not a marketplace. It takes no commission on your bookings, and your guest records and email addresses stay yours.
The spreadsheet is free, but the hours around it are not. Bookinglayer starts at USD 300 a month, with no commission on your bookings. Every subscription includes a couple of advanced features of your choice, such as the Session Planner or Digital Waivers. Count the hours your team spends in a busy week answering inquiries, writing quotes, matching payments and chasing waivers, then put your own hourly rate next to them.
